Job Description (JD)

The Administrative Specialist is responsible for managing daily financial transactions, petty cash operations, procurement support, and administrative coordination, ensuring compliance with internal policies and donor regulations.

Key Responsibilities

Cash Management

  • Manage and control petty cash fund operations
  • Prepare and process cash payment vouchers with full documentation
  • Conduct daily and weekly cash counts and reconciliations
  • Monitor cash advances and ensure timely settlements
  • Prepare journal entries and financial records for approval
  • Maintain secure handling of cash and financial documents

Administrative Support

  • Support procurement processes in coordination with Freetown office
  • Assist in organizing meetings, workshops, and official events
  • Manage office supplies and inventory replenishment
  • Maintain asset registers and administrative records
  • Liaise with service providers for maintenance and office needs
  • Support scheduling and administrative coordination

Compliance & Reporting

  • Ensure compliance with internal control systems and donor regulations

Education Requirements

  • Bachelor’s Degree in:
    • Accounting
    • Finance
    • Business Administration
    • Procurement
    • Or related field

Experience Required

  • 3–5 years experience in:
    • Cash management
    • Procurement support
    • Administrative or finance roles
  • Experience in NGOs or international development organizations is an advantage
  • Familiarity with financial compliance systems and donor-funded projects
